ACE works at the nexus of youth, media and civic engagement to accelerate our pathway toward a decarbonized world. We reach tens of millions of people with our programs each year and are driving a new climate narrative to engage audiences that our movement has yet to reach. We utilize leading-edge media strategies to combat dangerous disinformation, drive action-taking, and increase diverse participation in the democratic process.

JOB SUMMARY

ACE’s Operations Associate will provide essential support for the field team, focusing on the implementation of ACE’s outreach and civic engagement strategies. With a key responsibility for managing the team’s daily operations, the Operations Associate will serve as a linchpin in ensuring the smooth functioning of ACE's initiatives. Reporting directly to the Senior National Field Director and collaborating closely with State Field Directors, the Operations Associate will play a central role in coordinating efforts across various levels of the organization.

Responsibilities will encompass a range of critical tasks, including logistical support for outreach and civic engagement activities, streamlining operational processes, and facilitating seamless communication between team members. The Operations Associate will work hand in hand with State Field Directors to ensure alignment with overarching organizational goals and objectives.

Additionally, the Operations Associate will oversee the day-to-day operations of the field team, managing schedules, resources, and administrative tasks to optimize efficiency and effectiveness. This role will require strong organizational skills, and meticulous attention to detail.

By providing dedicated support and operational leadership, the Operations Associate will enable ACE to maximize its impact and achieve its mission of driving positive change through grassroots engagement and advocacy efforts.

This is a fully remote position that will require consistent, frequent communication and collaboration with a fully remote team. This position will require travel approximately 5% of the time for internal team meetings.

 

Key Responsibilities

Administrative:

  • Oversee the day-to-day operations of the field team, including scheduling, resource allocation, and administrative tasks, to maintain smooth functioning and optimize efficiency.
  • Foster effective communication and collaboration among team members, facilitating information flow between the national and state levels to promote synergy and cohesion.
  • Provide direct support to State Field Directors, offering guidance, resources, and assistance as needed to enhance their effectiveness in executing grassroots initiatives.
  • Assist in managing and analyzing data related to outreach efforts, engagement activities, and campaign outcomes, providing insights to inform strategic decision-making.
  • Prepare regular reports on operational activities, performance metrics, and key outcomes, contributing to ongoing evaluation and improvement efforts.

Operations:

  • Identify opportunities to streamline operational processes and enhance team productivity, implementing best practices and innovative solutions where applicable.
  • Support the training and development of field team members, ensuring they have the necessary skills and resources to effectively carry out their responsibilities.

Special Projects:

  • Assist in executing ACE's outreach and civic engagement strategies, collaborating with the Senior National Field Director and State Field Directors to ensure alignment with organizational goals.
  • Undertake special projects and assignments as directed by the Senior National Field Director, addressing emergent needs and contributing to the overall success of ACE's
 

Qualifications

Required Qualifications

  • 3-5 years experience in administrative or operations roles, preferably in a nonprofit or grassroots organization.
  • Thrive in cross-team collaboration—appreciates having her/his hands in many projects.
  • Exceptional ability to manage complex systems and projects, while keeping meticulous attention to detail. 
  • Be self-motivated to manage multiple projects with thoroughness, accuracy, timeliness, professionalism and optimism. (This position will be remote and will require the ability to self-motivate.)
  • Excellent verbal and written communication skills and ability to communicate effectively to different audiences.
  • Ability to troubleshoot challenges with patience and creativity.
  • Strong organizational and time management skills.
  • Excellent technological skills, and fluency in Google Suite.
  • Fluency OR ability to learn other programs such as Slack, Monday.com and others as necessary.
